Terms for Futureproof Festival.

These plain-language terms cover attendee expectations, ticket handling, Startup Exhibitor Packages, and festival operations. A signed agreement with different terms takes precedence for the organization that signed it.

Who these terms are between

The Organizer is the BC + AI Ecosystem Association. For a Startup Exhibitor Package, the Purchaser is the legal organization named in the confirmed booking, and the person completing payment confirms that they are authorized to bind that organization.

These terms are governed by the laws of British Columbia and the applicable laws of Canada. Package notices may be sent to kk@bc-ai.ca.

Tickets and checkout

Futureproof Festival ticket checkout is handled on Luma. Luma may apply its own checkout, payment, tax, refund, and account terms. Festival passes are tied to the attendee information submitted at checkout or through an approved transfer.

The Festival Pass covers opening night on October 28, the October 29-30 program, and the closing party unless a ticket description says otherwise.

Separately purchased Festival Passes

Refund schedule: Full refund until August 22, 2026. 50% refund August 23 through August 31, 2026. Transfers only from September 1, 2026 onward. Approved transfers may require updated attendee information before the event.

Festival Passes included in a Startup Exhibitor Package have no separate refund value and follow the package terms below.

Startup Exhibitor Package

A Startup Exhibitor Package becomes effective when the Organizer confirms the booking in writing and payment succeeds. Except for the organizer-cancellation remedy below and rights that cannot be waived by law, package purchases are final and non-refundable. The Organizer may confirm one transfer to another eligible organization in writing if the request arrives by September 28, 2026 at 11:59 p.m. Pacific.

If the Festival is postponed or rescheduled, the package automatically moves to the replacement dates. If replacement dates are not announced within 12 months, the cancellation remedy applies.

If the Organizer cancels the Festival or Startup Exhibitor program, the Organizer will choose and provide one of the following within 30 days of the cancellation notice: a reasonably comparable replacement package, an account credit equal to the package price paid and valid for 24 months, or a refund of the package price paid and any refundable taxes.

Non-material program, schedule, floor-placement, and operating details may change, provided the Organizer delivers the core package or a reasonably comparable alternative. Inability to attend, travel or staffing problems, demo readiness, no-shows, and removal under the Code of Conduct do not create a refund right. The Organizer's liability for the package is limited to the amount paid, except where the law does not allow that limit.

The listed price is in Canadian dollars. Taxes, if legally required, are additional.

Conduct and access

The Futureproof Festival Code of Conduct applies to attendees, speakers, sponsors, volunteers, staff, online spaces, and event venues. The team may refuse admission or remove people who violate the Code of Conduct or create safety issues.

Program changes

Program details, speakers, sponsors, venues, rooms, timings, and formats may change as the festival moves from planning to production. The team will publish confirmed speaker, sponsor, and legal information and update public pages when facts materially change.
